1. About Seamless.ly
We are Seamless.ly App Ltd., a company registered in the United Kingdom at 124 City Road, London, England EC1V 2NX. We provide a mobile application that enhances how sales teams interact with Salesforce through AI-powered data capture from images and voice notes.
Important: Seamless.ly is a supplementary tool for Salesforce. We facilitate data capture and synchronization but do not replace Salesforce's functionality. All your CRM data remains on your device and in your Salesforce instance.
2. Your Salesforce Data
Your data stays yours. All Salesforce records (Contacts, Leads, Accounts, Opportunities, Tasks) are stored only on your device and sync directly with your Salesforce instance. We do not store your Salesforce records on our servers.
You are responsible for:
- Maintaining your Salesforce credentials and security
- Ensuring you have proper authorization to access and modify Salesforce data
- Compliance with your organization's data policies
- Backing up critical data (we recommend using Salesforce's built-in backup features)
3. Usage Limits and Features
Plans and Trial
Seamless.ly offers two plans:
- Free: Use the app for record management and search. The Scan (image) and Speak (voice) features are available during an initial 14-day trial; after the trial they require a Professional subscription.
- Professional: Full access to all features, including unlimited Scan and Speak subject to fair use.
Fair Use Limits
Scan and Speak features rely on OpenAI and are made available on a fair use basis unless you provide your own OpenAI API key (see Section 5).
Fair use means usage consistent with normal individual end-user activity by authorized users in the ordinary course of sales work. Monthly per-seat caps apply and reset on the 1st of each month; if you reach a cap you will see a message asking you to retry next month.
We may, acting reasonably, monitor aggregate usage and treat activity as exceeding fair use where it materially deviates from typical per-seat patterns, including automated, bulk, programmatic, or non-human-originated submissions; sharing a single seat among multiple individuals; or volumes that cause disproportionate cost to Seamless.ly.
Where your usage exceeds fair use, we may, after reasonable notice, (i) throttle or temporarily suspend Scan or Speak for the affected seats, (ii) require you to switch to your own OpenAI API key for continued use of these features, or (iii) propose a commercial adjustment to your subscription. We will not suspend the core Salesforce sync functionality of the app on fair use grounds.
Feature Changes
We reserve the right to modify, add, or remove features, update usage limits, and make improvements to the service. We will indicate material changes by updating the "Last updated" date at the top of these terms; we encourage you to review them periodically.
Service Availability
We strive to maintain high availability, but service interruptions may occur for maintenance, updates, or unforeseen issues. We do not guarantee specific uptime percentages unless separately agreed in writing.
4. Acceptable Use
You agree to use Seamless.ly only for lawful business purposes. You will not:
- Reverse engineer, decompile, or attempt to extract our source code
- Use the service to process data you don't have rights to
- Attempt to bypass security features or access other users' data
- Use automated systems to access the service beyond normal use
- Violate Salesforce's terms of service or acceptable use policies
- Upload malicious content or attempt to harm our systems
- Share your account credentials or allow unauthorized access
5. AI Processing
When you use our AI features (image scanning or voice notes):
- Images, audio, and field metadata (field names, types, picklist values) are forwarded by our backend to our AI service provider in memory only — we do not persist them on our servers
- Retention by the AI service provider depends on which OpenAI account is in use: trial customers and post-trial customers continuing on our managed environment use the Seamless.ly-managed OpenAI account (configured with training, evaluation sharing, and API request logging disabled); post-trial customers who provide their own OpenAI API key use their own account, controlled by their administrator
- Extracted data goes directly to your device and Salesforce
AI Service Provider API Keys
During your initial trial period, AI processing uses a Seamless.ly-managed API key on the Seamless.ly-managed OpenAI account, which is configured to disable training, evaluation sharing, and API request logging. After the trial, your organization has two options:
- Continue on our managed environment. The same privacy settings remain in effect and Seamless.ly bears the OpenAI cost. No additional setup required.
- Provide your own OpenAI API key. You maintain a direct billing relationship with OpenAI, are responsible for accepting OpenAI's terms of service, and configure your own account settings (including data sharing and privacy controls). Your API key is stored securely in our infrastructure and is only used server-side to process your organization's Scan and Speak requests. You may revoke or rotate your API key at any time.
We encourage option 2 for organizations that want direct cost visibility and granular control over AI service provider settings, but it is optional.
You're responsible for having the right to process any images or create voice notes about individuals and companies.

6. Intellectual Property
Seamless.ly and its original content, features, and functionality are owned by Seamless.ly App Ltd. and are protected by international copyright, trademark, and other intellectual property laws.
We grant you a limited, non-exclusive, non-transferable license to use the app for your internal business purposes. This license is revocable and tied to your compliance with these terms.
Any feedback, suggestions, or ideas you provide about Seamless.ly become our property and can be used without compensation to you.
7. Privacy
Your privacy is important to us. Our Privacy Policy explains how we handle the minimal information we collect. Key points:
- We collect minimal authentication and account data
- Your Salesforce records stay on your device and sync directly with Salesforce
- Images, voice notes, and field metadata are forwarded by our backend to our AI service provider in memory only — we do not persist them on our servers. Retention by the AI service provider depends on the OpenAI account configuration in effect (see Section 5)
8. Security
We implement industry-standard security measures to protect your data:
- All data transmission uses TLS 1.2+ encryption
- Device storage uses platform-level encryption (AES-256)
- We have passed Salesforce's AppExchange Security Review (September 2025)
- Our infrastructure providers maintain SOC 2, ISO 27001, and other certifications
Incident Notification
In the event of a security incident affecting your data, we will notify affected users without undue delay and, where feasible, not later than 72 hours after becoming aware of the incident.

9. Disclaimers and Limitations
No Warranties
Seamless.ly is provided "as is" without warranties of any kind. We don't guarantee uninterrupted service, accuracy of AI processing, or compatibility with all Salesforce configurations.
Limited Liability
To the maximum extent permitted by law, Seamless.ly App Ltd. won't be liable for any indirect, incidental, special, or consequential damages, including lost profits, data loss, or business interruption.
Data Accuracy
While our AI is sophisticated, it's not perfect. Always verify extracted data before saving to Salesforce. You're responsible for the accuracy of data in your CRM.
Our total liability for any claims related to the service will not exceed $100 or the amount you've paid us in the past 12 months, whichever is greater.
10. Indemnification
You agree to defend and hold harmless Seamless.ly App Ltd., its officers, directors, employees, and agents from any claims, damages, or expenses arising from:
- Your use of the service
- Your violation of these terms
- Your violation of any third-party rights
- Any data you process through the service
11. Account Termination and Data Deletion
Either party can terminate these terms at any time:
You Can Stop Using Seamless.ly Anytime
To completely remove your data:
- Log out or delete the app to immediately remove all local data including Salesforce records from your device
- Request account deletion by emailing privacy@seamless.ly — we will use commercially reasonable efforts to delete your account data within 30 days; certain residual data (e.g., system logs and automated backup snapshots) may persist for the duration of standard retention cycles, after which it is deleted
Your Salesforce data remains in your Salesforce instance and is unaffected by deleting Seamless.ly.
We May Suspend or Terminate Access
If you violate these terms or abuse the service, we may suspend or terminate your access. We'll try to give reasonable notice when possible.
Upon Termination
Your license to use Seamless.ly ends immediately. Provisions regarding liability, indemnification, and intellectual property survive termination.
12. Third-Party Services
Seamless.ly integrates with the following third-party services:
- Salesforce: You must comply with Salesforce's terms and maintain a valid Salesforce account.
- AI Service Provider (OpenAI): AI processing uses OpenAI. By default this is via our managed Seamless.ly OpenAI account; post-trial customers may optionally provide their own OpenAI API key for direct billing and configuration. If you provide your own key, you must comply with OpenAI's usage policies and are responsible for your account configuration and billing.
- Google Cloud Platform / Firebase: backend infrastructure, database hosting, authentication, and in-app product-usage analytics.
- Resend: transactional email delivery for our website forms.
- Salesforce (our internal CRM): we maintain our own internal Salesforce org for customer relationship management, support tickets, and billing — separate from your Salesforce instance.

We are not responsible for third-party services, their availability, or changes to their terms.
13. Changes to Terms
We may update these terms as we develop the service. We will indicate changes by updating the "Last updated" date at the top of these terms. We encourage you to review them periodically. Your continued use of the service after changes are posted means you accept the updated terms. If you don't agree with changes, you should stop using the service.
14. Governing Law and Disputes
These terms are governed by the laws of the United Kingdom. Any disputes will be resolved in the courts of London, England.
Informal Resolution
We'll try to resolve any issues informally first. Contact us at legal@seamless.ly if you have concerns.
Class Action Waiver
You agree to resolve disputes individually and waive any right to participate in class action lawsuits or class-wide arbitration.
15. General Provisions
Entire Agreement
These terms and our Privacy Policy constitute the entire agreement between you and Seamless.ly App Ltd.
Severability
If any provision is found unenforceable, the remaining provisions continue in effect.
No Waiver
Our failure to enforce any right doesn't waive that right.
Assignment
You cannot transfer these terms without our consent. We may assign these terms to any successor or affiliate.
Force Majeure
Neither party will be liable for delays or failures in performance resulting from circumstances beyond reasonable control, including natural disasters, acts of government, internet or infrastructure provider outages, labor disputes, or other events that could not have been reasonably anticipated or prevented.
